How to turn a signed quote into an invoice in one tap
Once your client signs, converting a quote to an invoice in JobTap takes one tap. Here's how it works and why it saves you time.
One of the most time-consuming parts of running a trade business is re-entering job details from a quote into an invoice. With JobTap, you don't have to — it's one tap.
When can I convert a quote to an invoice?
Once your client has signed the quote, a Create invoice button appears on the quote detail screen. You can tap this as soon as they sign, or wait until the job is complete.
Most tradies tap it at the end of the job — right there on site, before they even pack up the van.
What gets carried across?
Everything. When you tap Create invoice, JobTap copies:
- All line items and descriptions
- Labour, materials, and any other charges
- GST calculation
- Subtotal and total
- Client details
You don't type anything again. The invoice is ready to send in seconds.
What does the invoice look like?
Your invoice includes:
- Your business name, GST number, and phone number
- Your client's name and contact details (for invoices over $1,000 as required by IRD)
- A full breakdown of line items
- GST shown separately
- Your bank account number for payment
- A due date (21 days by default)
- An invoice number (automatically assigned)
It's IRD compliant straight out of the box.
How does my client pay?
Your client receives the invoice by email. It shows your bank account number and the invoice number to use as a payment reference. They do a bank transfer — the standard way NZ clients pay tradespeople.
Once the money hits your account, open the invoice in JobTap and tap Mark as paid. Your dashboard updates instantly.
What if the final job cost is different from the quote?
If the scope changed during the job, you can create a variation — either by updating the quote before invoicing, or by adjusting line items when the invoice is created. Always make sure your client is aware of any changes before you send the invoice.
